Eligibility and Licence

Drivers must be over 25 and under 70 years of age, of good health, and will have held a full driving licence valid for the hire vehicle for at least one year.
The hirer's (drivers) licence should ideally be free of endorsements for the past five years, with the exception of speeding or parking offence. Persons with serious convictions within the last eleven years may not be permitted to drive the vehicles.There is a standard excess of £1000.00 i.e. in the event of damage to either the vehicle or to third party property, the hirer will be liable for the first £1000.00 of the repair costs. The hirer will also be fully liable for any tyre damage and for the repair or replacement of a damaged windscreen.

Drivers are personally liable for all legal penalties i.e. parking tickets, speeding tickets which are incurred during the hire period.

Visitors from abroad are advised to obtain an International Driving Licence.

Failure to meet this criteria does not automatically result in disqualification from driving, but we will need to refer details to out insurance company to check validity of cover.

Documentation

A full licence MUST be produced at the time of the vehicle collection. A photo-card licence must be accompanied by its counterpart licence. Two separate forms of identification are required with one bearing both address and signature. A full licence and additional identification must be shown for every potential driver. All drivers must be present at the time of hire.

Vehicle collection & return

The hire period will normally commence at 15:00pm (excluding Sundays and Bank Holidays) and will terminate at 11:00am on the agreed day of return. When your insurance WILL expire. A £50.00 charge will be deducted from your deposit for every hour that the vehicle is overdue. Also £100.00 per hour will be levied for emergency insurance. Earlier collection times and weekend collection may be arranged depending upon vehicle availability. All hire vehicle collections & returns are based at East Coast Leisure, 27, Yardley Business Park, Luckyn Lane, Basildon, Essex. SS14 3GL .

Payment & Security deposit

A deposit of £150.00 is payable on reservation. The remainder of the balance and a security deposit of £1000.00 is due 6 weeks prior to commencement of hire. In the event any amount is not paid when due, the Company reserves the right to cancel the booking. The £1000.00 Security deposit is fully refundable on return of the vehicle to the agreed location, on the agreed date & time and in the same condition as it was hired out to you, with the toilet empty, the interior clean including all cooking appliances and a full tank of fuel.

Deposit Refunds

Deposits are refunded in full provided that the vehicle is returned clean, undamaged and on time.

Examples of circumstances where deductions may be applied to this deposit are as follows:

a) Where there is damage to the vehicle or contents.

Charged at retail replacement parts cost plus an hourly labour rate for the time spent on the repair if necessary.

b) Where the vehicle is returned in an unacceptable condition internally.

Again charge at an hourly rate for any excess cleaning time required.

c) Un emptied toilets will be charged at £25.00 for emptying & cleaning.

d) Fuel Tank refilling will be charged £25.00 plus £1.00 per every litre of fuel used.

Refunds are paid after cleaning and inspection of the returned vehicle but within ten days of termination of the hire.

Breakdowns & Accidents

Every effort is made to ensure that the hire vehicle is satisfactory for the purpose of hire and in a safe and roadworthy condition when it leaves Company premises. In the event of a breakdown you will have an emergency telephone number to call. It is the responsability of the hirer to check the oil & water levels throughout the duration time of hiring. The hirer is responsible for notifying to the company any fault as soon as it becomes apparent in order that the company may make reasonable efforts to perform its obligations under the hire contract. The company will only accept liability for reasonable expenses occurred by the hirer where these conditions are complied with. In these circumstances instructions for the necessary repair or the purchase of replacement faulty parts at a cost not exceeding £50.00 may be given by the hirer who will be reimbursed after presentation of receipted invoices.

Approval from the company must be obtained in respect of repairs or replacements in excess of £50.00. The company can accept no liability for accommodation charges, replacement vehicle cost or other claims arising from breakdown, accident or other causes. All accidents and losses should be reported IMMEDIATELY by telephone to 01268 276276. A completed Accident Report Form must be produced at the termination of the hire.

Insurance

The Motor Rental Agreement is subject to and is deemed to include the terms, conditions, and limitations of the Company’s insurance policy, a copy of which may be inspected at the Company’s office.

Any vehicle hired under this agreement may only be driven by the hirer who has been accepted by the Company and our insurance company.

Even though it may be covered by the Company’s insurance the hirer shall be liable to pay the cost of repair of any damage which the vehicle may suffer as a result of a wilful or negligent action of the hirer.

The hirer will compensate for any loss the company may suffer as a result of any act or omission on the part of the hirer or his servant or agent.

Smoking and Pets

Smoking is not permitted in any motorhome. For the benefit of other users, your co-operation is appreciated.

Theft

The hirer is totally responsible for the security of the vehicle. The hirer must ensure that if the vehicle is left unattended at any time that it is securely locked and parked in a safe, well lit location. The hirer must take every precaution to prevent loss or theft from the vehicle. Do not leave the vehicle in a vulnerable location or unlocked at any time, always remember total liability is with the hirer if you do not adhere to the above.

Cancellations & Cancellation Charges

The Company reserves the right to:-

Make reasonable changes to the rates and conditions of hire at any time up to the point of written acceptance by the hirer.

Substitute another vehicle or cancel the hire in the event of:-

a) A vehicle being returned damaged resulting in its unsuitability for hire.

b) The late return by a previous hirer.

Refuse to hire to any individual who is reasonably considered unsuitable to undertake the hire. In such circumstances the intended hirer shall be entitled to request a refund of monies paid, which will not be unreasonably withheld by the company.

Once the £150.00 deposit has been taken in any event of you canceling you have lost your deposit.

Between 6 weeks and 2 weeks before depature date: 50% of total hire charge wil be refunded

Between 2 weeks and not arriving on departure date 100% of the total hire charge will be lost.

Payment

All payments must be made by either debit card, cheque or cash. For late bookings (under 6 weeks before departure) the full rental price is payable on booking. All vehicles will not be released without full payment being completed. Cheque's will not be acceptable for late bookings (less than 2 weeks prior to departure).
